Position Summary/Purpose of Position:

To provide professional support to the Associate Dean for Graduate Affairs in the A. James Clark School of Engineering. Regular duties include coordination and support of various programs designed to recruit, retain, and train graduate students (including the Clark Doctoral Fellows), as well as analyzing and reporting data related to School operations. This position will require working closely with the other Associate Deans as well as other campus offices, such as the Graduate School and Admissions.

Minimum Qualifications:

Bachelor’s degree or equivalent combination of education, training and experience

7-9 years (High School Diploma or GED) of administrative and/or graduate program experience.
5-7 years (Associate’s degree) of administrative and/or graduate program experience.
3-5 years (Bachelor’s degree) of administrative and/or graduate program experience.

Knowledge, Skills & Abilities:

• Ability to organize and execute multiple assignments simultaneously and under time constraints.
• Ability to work independently and utilize good judgment in making decisions in accordance with university policy.
• Ability to interact professionally with faculty, staff, and students.
• Ability to handle sensitive and confidential matters with discretion and tact.
• Attention to detail and ability to learn quickly.
• Ability to create and maintain orderly databases and files.
• Ability to analyze and compile data and generate reports.
• Excellent written and verbal communication skills.
• Competence in word processing, spreadsheets, and database packages.


• Experience in event coordination.
• Experience in higher education administration.
• A working knowledge of SIS, IRPA, and other University electronic systems.
• Competence in creating pivot tables, charts, and presentations using spreadsheet, presentation, word processing, and database packages.

Physical Demands

Physical Demands:
• Able to operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
• Capable of exerting up to 30 pounds of force occasionally and/or negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects.
• Substantial repetitive movements (motions) of the wrists, hands, and/or fingers from computer entry work.
• Good visual acuity to perform activities such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
• Must be able to maneuver around the campus to attend meetings and pick up time-sensitive or valuable items from other departments.
• Able to communicate with faculty, staff and students who have inquiries. Must be able to exchange accurate information in these situations.
