Position Summary/Purpose of Position:

The Financial Operations Coordinator is a key member of the Executive Director’s team. This position includes a broad range of responsibilities to support the functions within Financial Operations including Budget, Financial Reporting and Analysis, and Management Advisory Services, as well as support for the Executive Director.

Duties to include:
• Provide support for executive level committees and work groups, coordinating with large and diverse teams, and timely and accurate follow up on meeting outcomes.

• Create and manage database of requests for information (fiscal notes) distributed by state legislative analysts, review incoming requests and triage for distribution

• Provide business support for the Financial Operations office. Tasks include, but are not limited to, managing HR and payroll actions, purchasing for the unit, coordinating shared space and conference rooms, and managing office equipment and supplies.

• Professional administrative support to the Executive Director, and CFO as needed, responsible for managing calendars, meeting and event logistics, travel arrangements, and fielding telephone calls.

• Prepare documents, create and review PowerPoint presentations and publish training materials for staff.

Minimum Qualifications:

• Bachelor’s degree or equivalent experience
• Experience working as an executive assistant or office manager
• At least six (6) years of full-time experience supporting a multi-person work environment
• High degree of professional judgement and ability to manage ambiguity
• Sensitivity to confidential matters is required
• Forward-thinking and self-motivated individual with proven ability to work independently and collaboratively as needed
• Excellent time management skills and meticulous attention to detail
• Proven ability to coordinate multiple deadlines and priorities within a fast-paced environment
• Flexibility to shift priorities and provide fast turnaround on high profile matters
• Full comprehension of office management systems and procedures
• Microsoft Office skills, managing processes, organization, analyzing information
• Demonstrated experience with providing outstanding, prompt customer service
• Demonstrated ability to work well with all levels of management and staff within and outside the university
• Proficient English language written and verbal communication skills and interpersonal skills
• Excellent administrative writing and verbal skills

Preferences:

• Experience in a research university, higher education or similar environment
• Experience with customer support

Physical Demands

This is an office position that adheres to a standard work week. The majority of time is spent sitting at a desk at a computer workstation.
