Position Summary/Purpose of Position:

The Assistant to the Director provides executive level support to the Director of School of Languages, Literatures, and Cultures (SLLC) and the Office of Academic Affairs. This position maintains the Director’s calendar, commitments, and correspondence; manages the SLLC Office of Academic Affairs; coordinates the faculty Appointment, Promotion, and Tenure (APT) process; coordinates faculty searches; serves as primary point of contact for the School, communicating on its behalf with internal and external faculty, alumni, staff, students, and collaborators; coordinates the activities of various School committees.

Minimum Qualifications:

• Bachelor’s degree or equivalent experience (at least two years) in providing executive level administrative support in higher education or research institution
• Excellent communication skills (oral and written English)
• General knowledge of and skills in the practical application of standard office practices and procedures
• Friendly disposition and willingness to serve clients
• Strong computer skills and established skill set in using Microsoft Office suite (Word, Excel, PowerPoint), Adobe Professional, and Skype or video-conferencing applications
• Experience with Google calendar, Doodle or other online meeting scheduling sites
• Ability to independently plan, organize, prioritize, and execute multiple and continuing assignments with oral or written instructions
• Ability to interact effectively with internal and external parties in a professional, courteous, and efficient manner
• Ability to maintain strict confidentiality and exercise discretion as appropriate

Preferences:

• Experience with UMD proprietary systems such as ARES, eTerp, PCard, and TCard strongly preferred.
• Knowledge of UMD personnel policies and procedures for faculty and staff, including APT (Appointment, Promotion, Tenure)
• Knowledge of university business and travel policies and procedures

Physical Demands

Work is performed in a normal office environment, which includes operating standard office equipment (e.g., computer, keyboard, printer, fax machine, telephone, etc.).
Some lifting of supplies and materials.
