Position Summary/Purpose of Position:

C&VS is seeking a Program Manager (Meeting Planner) to serve as the primary point of contact for assigned programs. This includes negotiating contracts, securing services from on and off campus vendors, venue arrangements, on-site coordination of meeting planning and related services, producing bills for contracted services, and maintaining customer relationships.

The Program Manager will participate in C&VS’s student development program, including hiring, supervising, attending team-building activities, and conducting training sessions for student staff.

Minimum Qualifications:

Bachelor’s Degree

Three (3) years hospitality/meeting planning experience, preferably in a large collegiate conference environment and a hotel/convention center environment. Experience should include contract negotiation and preparation, project management, and logistical planning.

Ability to work irregular hours, including evenings and weekends, especially during the summer months.

Occasional travel required with the expectation of remaining on-site at remote locations for several days as primary coordinator of assigned conferences.


Demonstrated planning, supervisory, customer service, and organizational skills.

Strong written and verbal communication skills with excellent editing and proofreading.

Excellent professional, interpersonal, and analytical skills.

Ability to effectively manage multiple projects simultaneously, track activities, and meet deadlines.

Ability to keep clear and accurate records.

Ability to produce effective meetings and events in traditional (i.e. a conference hotel) and non-traditional venues (i.e. a university campus).

Physical Demands

Carrying and moving supplies, equipment, and other items, some weighing 25 lbs.

Work will take place in a variety of environments, including a typical office setting, a variety of meeting facilities, non-air-conditioned facilities, and outdoors.

Occasional travel and multiple days away.

During events, Program Manager may experience frequent periods of standing for long periods of time and moving from location to location.
