Position Summary/Purpose of Position:

This position is located at the University System of Maryland Office

The University System of Maryland Office (USMO) invites applications and nominations for the NonExempt Staff position of Executive Administrative Assistant I in the Office of Internal Audit. The Executive Administrative Assistant I will have primary responsibility to support and assist the Director of Internal audit in all administrative tasks. In addition, specific duties will include:

• Assisting the Director in support of the Board of Regents and the Board of Regents Audit Committee.
• Assembling materials for the Board of Regents Audit Committee Meetings
• Organizing and distributing final audit reports
• Maintaining records of Office of Legislative audit schedules
• Scheduling meetings and appointments
• Administratively supporting audit staff (eight members)
• Reviewing auditor expense reports for compliance and accuracy
• Reviewing and editing outgoing correspondence for procedural and typographical accuracy.
• Interacting with all levels of management throughout the USM in a courteous and efficient manner; maintaining a high degree of confidentiality; handling sensitive matters with discretion and tact.

Minimum Qualifications:

EDUCATION: High School Diploma or GED.
EXPERIENCE: Four years secretarial experience.
REQUIRED KNOWLEDGE/SKILLS/ABILITIES Comprehensive knowledge of and skill in the application of office practices, procedures, and equipment; of business english, spelling, grammar, and arithmetic; of UMS policies and procedures and the institution’s purpose, goals, and procedures. General knowledge of and skill in the use of word processing, database, and spreadsheet software to produce documents and maintain information. Skill in composing a variety of correspondence; in operating manual and automated office equipment; in managing filing systems; in gathering and summarizing information; in maintaining confidentiality and handling sensitive matters with discretion and tact; in interacting with students, public officials and staff at all levels in a courteous and efficient manner; in planning, organizing, prioritizing and executing complicated and continuing assignments without instruction. Ability to communicate effectively both orally and in writing; to understand and follow oral and written instructions; to project a professional and positive image of the institution; to make effective oral presentations; to supervise office operations and staff.

Bachelor’s degree is preferred, but not required. The ideal candidate will be honest, organized, detail oriented and have excellent written and oral communication skills. They will have familiarity with working in a professional office environment, work on multiple projects simultaneously and maintain confidentiality.
