Position Summary/Purpose of Position:

The Program Administrative Specialist provides support for a group of analysts, programmers, report writers, network technicians, computer technicians and developers in the Business Applications and Computer Hardware Services units within the Division of University Relations.

The Program Administrative Specialist acts as the front-office reception for the University Relations suite in the Seneca Building. S/he interacts with internal and external customers of the university and handles sensitive and confidential information with tact and discretion.

The Program Administrative Specialist is responsible for coordinating efforts, tracking and budgeting financial activity, and generally supporting the directors of Business Applications and Computer Hardware Services units. In addition, s/he supports the training and communication efforts of the Business Applications unit, assisting with tracking, scheduling, document preparation, materials development, and assisting with training when needed. S/he manages the calendar for Director of Business Applications. Coordinates travel and reimbursements for the Business Application and Computer Hardware Services directors and staff. S/he will also be responsible for ordering office supplies for Business Applications and Computer Hardware Services.

The Program Administrative Specialist assists in process management and basic reporting as well as with ad-hoc data requests. S/he prepares draft reports, recommendations, and other information resources for use by the organizational unit or its management. The Program Administrative Specialist plans, schedules, prepares for, and coordinates meetings and follow-up from meetings.

Minimum Qualifications:

Bachelors degree and Four years experience in administrative staff work. Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities. Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college
credits being equivalent to one year of experience.

Knowledge, Skills, and Abilities: Ability to utilize computer programs including MS Excel, MS Word, MS Power Point required. Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities.

Ability to work in Advance preferred.

Physical Demands of Position: Traditional office environment with the majority of time spent on the computer with some duties involving filing and records retention that require the ability to climb stairs and move records boxes that may weigh up to 50 lbs.
