Position Summary/Purpose of Position:

The Office of Special Events seeks a Graduate Assistant who will be responsible for a variety of duties including but not limited to the following:

• Keeping Special Events Storage Rooms clean, well-organized, and inventoried. Working closely with the Office Manager to reorder new supplies.
• Shipping materials to events, manage packing lists and help compile supplies.
• Creating name tags for all special events on and off campus.
• Assisting the Office Manager with RSVP’s to special events both through email communication as well as phone calls.
• Administrative tasks which include answering phone and email inquiries
• Pack, organize, and work on site at highly visible special events providing enthusiastic customer service to important members of the university community.
• Assisting with communication prior to commencement, as well as volunteer management at Winter and Spring Commencements.
• Help with uploading, organizing, and updating all event photos from the photographer, after an event has occurred.
• Respond to social media inquiries regarding commencement.

Minimum Qualifications:

Must be currently enrolled full time in a UMCP Graduate Program.

Knowledge, Skills, and Abilities:
• Expertise of MS Office Suite, especially Word, Excel, and Publisher.
• A general understanding of website design and functionality.
• Flexible schedule and the ability to work long hours, occasional evenings and weekends.
• Big picture oriented with attention to detail.
• Ability to multi­task and to prioritize conflicting demands on limited time.
• Ability to analyze systems for productivity.
• Above average written and verbal communication skills.
• Ability to follow both written and verbal instructions and to ask for clarification when needed.
• Punctuality and a commitment to seeing a project from beginning to end.

Physical Demands
